Marketplace terms
Last updated: 17 October 2026
These terms cover bookings between game developers ("devs") and the artists, trailer editors and copywriters listed on the WishlistLab Marketplace ("freelancers"). The marketplace is run by Helix Platforms Ltd (company no. 17032196), which collects payments as the freelancer's limited payment collection agent. Our general terms of use also apply.
- Book through WishlistLab. Any work that comes from a WishlistLab introduction must be booked and paid through WishlistLab, including follow-on work with the same dev for 12 months after the introduction. Taking an introduced client off-platform to avoid the fee is grounds for removal.
- The brief. Before payment, both sides confirm a short brief: the deliverables, number of revisions, deadline and price. Either side can suggest changes before payment, and any change has to be confirmed again by the other side. The brief is what every delivery and dispute is judged against.
- Paying and holding. The dev pays the full price upfront by card through Stripe. WishlistLab holds the money and doesn't pass it to the freelancer until the work is approved. Devs pay no fees. Helix Platforms Ltd is not VAT-registered, so no VAT is charged.
- Our fee. WishlistLab keeps a 15% platform fee from each booking. The freelancer receives the other 85%, transferred to their own Stripe account. Card processing costs come out of our fee, not the freelancer's share.
- Milestones. Bigger jobs can be split into two 50% milestones. The full price is still paid upfront and held; each half is released when that milestone is approved.
- Delivery and approval. The freelancer marks the work delivered from the booking page, with a link to the files. The dev then has 7 days to approve it or raise a problem. Approving releases payment straight away. If the dev does neither within 7 days, payment is released automatically.
- Raising a problem. Within the 7 days, the dev can explain what doesn't match the brief. Payment stays on hold, and the freelancer gets one fix round. After the fix, the dev has 7 days to approve it or ask WishlistLab to decide; if they do neither, payment is released. The freelancer can also ask WishlistLab to decide instead of making a fix. If no fix arrives within 14 days of the problem being raised, it comes to WishlistLab automatically.
- WishlistLab's decision. We decide on a full refund, a partial refund or releasing payment, based only on the agreed brief, the delivery and the fix. We aim to decide within 3 working days. A partial refund returns part of the price to the dev, and the freelancer receives 85% of the rest. A full refund on the first milestone also refunds any milestone that hasn't started.
- Cancelling before payment. Nothing is owed until the dev pays. Either side can walk away before then.
- Card chargebacks. Because WishlistLab takes the payment, chargebacks raised with a card issuer are handled by WishlistLab, using the agreed brief and the delivery records as evidence. While a chargeback is open, any held payment for that booking stays on hold.
- Quality and removal. Freelancers are vetted by hand. A freelancer with repeated upheld complaints (two or more problems decided in the dev's favour) is paused, and may be removed from the marketplace.
- Payouts. Freelancers set up payouts with Stripe Connect, and Stripe's Connected Account Agreement applies. Stripe runs identity checks and pays out to the freelancer's bank on its usual schedule. Freelancers are responsible for their own taxes.
- Rights in the work. Unless the brief says otherwise, the freelancer grants the dev the rights needed to use the delivered work for their game and its marketing once payment is released. Freelancers may show the work in their portfolio once the game page is public.
- Our role. WishlistLab introduces the parties, holds payment and decides disputes under these terms. The contract for the work itself is between the dev and the freelancer. Nothing here limits your statutory rights.
